PRIMARY PURPOSE:



The Coordinator of Athletic Operations provides districtwide coordination and operational support for the implementation of Spring ISD's athletics program. This position is responsible for coordinating athletic schedules, district tournaments, program communications, athletic data reporting, website management, awards programs, UIL reporting, and operational systems that support the efficient delivery of athletic programs across all middle school and high school campuses.



Working collaboratively with the Director of Athletics, Executive Director of Athletics, campus athletic coordinators, coaches, district departments, and community stakeholders, the Coordinator of Athletic Operations ensures the consistent implementation of district athletic procedures while supporting compliance, communication, student-athlete recognition, and continuous improvement across all athletic programs.

MAJOR RESPONSIBILITIES AND DUTIES:


Athletic Operations and Program Coordination

Coordinate districtwide operational support for all middle school and high school athletic programs.
Assist with development, coordination, and validation of district athletic schedules.
Coordinate district-sponsored tournaments, meets, championships, and special athletic events.
Support athletic event logistics including facilities, scheduling, officials, transportation, and operational readiness.
Monitor athletic operations and recommend process improvements that increase efficiency and consistency.


Data Management and Program Reporting

Collect, maintain, analyze, and report district athletic participation and performance data.
Coordinate completion and submission of all required UIL participation reports and related documentation.
Monitor middle school standings, athletic results, and championship records.
Prepare reports and operational data for district leadership to support decision-making and continuous improvement.
Maintain historical records of district athletic accomplishments and student participation.




Athletic Communications and Technology

Coordinate maintenance and continuous improvement of the district athletics website.
Collaborate with the Communications Department to promote athletic programs through digital media and social media platforms.
Coordinate communication regarding schedules, events, championship results, recognitions, and athletic accomplishments.
Support district athletic publications, promotional materials, and informational resources.
Coordinate GoFan operations including scheduling, rostering, ticketing, and event management support.


Student Recognition and Program Support

Coordinate districtwide athletic awards programs including trophies, plaques, medals, ribbons, and championship recognition.
Maintain records recognizing individual and team accomplishments.
Coordinate recognition of middle school championships and district athletic achievements.
Support initiatives promoting student leadership, academic achievement, sportsmanship, and character development.


UIL Compliance and Operational Support

Support implementation of district procedures ensuring compliance with UIL rules and district policies.
Assist with preparation and submission of required UIL documentation.
Monitor athletic schedules and operational processes for compliance with district expectations.
Provide operational guidance to campus athletic coordinators regarding UIL reporting requirements.
Assist district leadership in resolving operational and compliance-related issues.


Stakeholder Engagement and Customer Service

Serve as a resource for campus athletic coordinators, coaches, parents, booster organizations, officials, and community members.
Collaborate with district departments to coordinate athletic initiatives and special projects.
Represent the Athletics Department at district functions, athletic events, and community activities.
Promote positive relationships that enhance confidence in Spring ISD athletics.


Continuous Improvement

Analyze operational processes and recommend improvements that strengthen athletic program delivery.
Research best practices in athletic administration, event management, and communications.
Assist with implementation of department initiatives that improve operational effectiveness.
Perform additional duties as assigned by the Director of Athletics or Executive Director of Athletics.


WORKING CONDITIONS:


Physical Demands

The usual and customary methods of performing the job's functions require physical mobility, prolonged sitting, standing, walking, occasional lifting, carrying, pushing, and pulling. vFrequent evening and weekend work is required to support athletic events. Travel throughout the district and occasional statewide travel are required.

Ability to coordinate multiple districtwide events simultaneously; analyze operational data; interpret policies and procedures; communicate effectively with diverse stakeholder groups; prioritize competing deadlines; solve operational challenges; and maintain professionalism and emotional control in fast-paced environments.

Qualifications: QUALIFICATIONS:


Required:

Bachelor's degree from an accredited college or university
Valid Texas teaching certificate
Minimum of three (3) years of successful coaching experience
Demonstrated knowledge of UIL rules, regulations, and athletic administration
Preferred:

Master's degree
Administrative certification
Head coaching experience
Experience coordinating district or multi-campus athletic programs
Experience managing athletic scheduling software, websites, or athletic management systems
SPECIAL KNOWLEDGE/SKILLS:

Comprehensive knowledge of University Interscholastic League (UIL) Constitution and Contest Rules.
Knowledge of district athletic operations, scheduling, tournament administration, and event coordination.
Strong understanding of athletic participation reporting, student eligibility requirements, and UIL compliance documentation.
Knowledge of athletic management software, scheduling systems, website management, and digital communication platforms.
Experience utilizing social media to promote organizational initiatives and student recognition.
Ability to collect, analyze, and report athletic participation and performance data.
Knowledge of purchasing procedures, inventory management, and awards coordination.
Strong organizational and project management skills with exceptional attention to detail.
Excellent written, verbal, and interpersonal communication skills.
Ability to coordinate multiple districtwide projects and competing priorities simultaneously.
Ability to establish collaborative relationships with campus staff, district departments, coaches, officials, parents, and community stakeholders.
Ability to maintain confidentiality while exercising sound judgment and professionalism.
