POSITION OVERVIEW: The Office of Governance (OG) at the Texas Education Agency proactively supports school systems, keeps students safe, and upholds Texas education law with integrity, objectivity, and excellence. Through two core workstreams—Field Support and Compliance & Investigations—we partner with local education agencies (LEAs) to promote best practices. By working collaboratively across the agency and engaging directly in the field, we help ensure every Texas public school student has access to a safe and high-quality education. We are seeking a detail-oriented Office Manager and Program Support Specialist to perform senior-level staff services work and serve as the primary point of contact for day-to-day operational needs. This role is essential to keeping our office running smoothly and ensuring teams have the resources, systems, and administrative support they need to succeed. Reporting to the Chief of Staff, the Office Manager and Program Support Specialist supports leadership and staff by maintaining a well-functioning office environment and serving as a liaison between OG and other internal and external teams. The ideal candidate is proactive, solutions-focused, and collaborative—someone who anticipates needs, solves problems efficiently, and is committed to creating a seamless, collaborative, and supportive workplace experience. The Office Manager and Program Support Specialist may work a hybrid schedule with at least four in-person days each week. ESSENTIAL FUNCTIONS: Job duties are not limited to the essential functions mentioned below. You may perform other functions as assigned. 1. Office Operations: oversees and coordinates daily operations to maintain a professional, welcoming, and efficient work environment including maintaining the physical workspace to high standards of cleanliness, organization, and functionality; manages office equipment and supplies; coordinates with agency teams; and proactively identifies and resolves operational issues; anticipates the logistical needs of the team and ensures that office systems and resources are aligned to support smooth, uninterrupted operations and a positive workplace culture 2. Administrative Support: provides comprehensive administrative support to ensure the effective functioning of program areas and office operations including handling sensitive and confidential information with accuracy and discretion; performing timely and precise data entry; managing physical and digital correspondence; and compiling information for internal reporting 3. Business Operations Support: supports continuous improvement of office operations and work processes while collaborating across all levels of management and staff including managing a variety of procurement, and administrative tasks; ensuring teams have the resources and supplies needed to meet their goals; maintaining equipment inventory; overseeing procurement of goods and services; and assisting with HR, budgeting, asset tracking, records management, and process improvement efforts 4. Project and Program Support: assist in the planning, coordination, and execution of special projects, initiatives, and events that support office goals including scheduling meetings, preparing materials, tracking timelines and deliverables, and coordinating logistics with internal and external stakeholders; provide administrative and operational support throughout the project lifecycle, including documentation, communication, and follow-up |
Qualifications: | MINIMUM QUALIFICATIONS: • Education: Graduation from an accredited four-year college or university • Experience: At least three [3] years of experience in business operations, administrative support, or office management. • Substitutions: Each additional year of related experience above the required minimum may substitute for education on a year-for-year basis. OTHER QUALIFICATIONS: • Share the belief that all Texas students can achieve at high levels and are able to succeed in college, career, or the military. • Previous experience in office administrative or office support role • Exceptional organizational skills with keen attention to detail • Excellent interpersonal and communication skills, both written and verbal • Experience managing confidential data and information with discretion • Familiarity with procurement processes, inventory tracking, and purchasing systems, preferred • Demonstrated ability to take initiative and solve problems independently • Comfortable working with cross-functional teams • Proficiency with office productivity tools (e.g., Microsoft Office and 365) • Demonstrated ability to manage multiple priorities and prioritize effectively in a fast-paced dynamic environment • Ability to identify operational inefficiencies and contribute to process improvements • Comfortable working independently and as part of a team • A collaborative, service-oriented mindset with a passion for supporting others • A desire to self-reflect, give/receive feedback and continuously improve As an equal opportunity employer, we hire without consideration to race, religion, color, national origin, sex, disability, age or veteran status, unless an applicant is entitled to the military employment preference.
