The Assistant to the Board of Trustees will perform highly responsible secretarial and confidential administrative work as principal staff assistant to the Board of Trustees with primary focus on ensuring the Board of Trustees needs and requests are addressed in an appropriate and timely manner.

Position Description

Essential Duties and Responsibilities

Perform complex and divers administrative assistance duties for members of the Board of Trustees
Post official notices of meetings in accordance with applicable laws and regulations
Distribute public documents such as meeting agenda, speaker’s list, and meeting minutes to the District staff and other interested parties
Work with the Superintendent, or designee, to prepare agendas and supporting materials for Board meetings and Board Updates
Prepare Board meeting notices and minutes
Consult with staff attorney and/or district legal counsel when directed
Work with executive leaders to organize responses to Board inquires in a timeline manner
Keep Board of Trustees informed of deadlines and pending items
Maintain calendars and schedule appointments and conferences; make necessary arrangements for meetings and conferences, including space, time, and participants; prepare replies to general requests and routine letters on varied matters of the Board President's signature
Handle arrangements for Board members as needed, including travel, appointments with local, state, federal and elected officials
Collect data and direct preparation of informal and formal dockets and packets for Board of Trustees meetings
Ensure follow-up on Board of Trustees' decisions and requests and administration action items
Handle arrangements for Board members travel, including appointments with local, state federal elected officials
Maintain updated Board events calendar
Maintain Board of Trustee training hours and requirements
Organize and maintain filing systems, according to standard filing procedures, and at times according to local, state or federal guidelines
Communicate with IT department for meeting support when necessary and ensure equipment is operational
Attend on and offsite meetings of the Board of Trustees
Obtain, compile, and organize information requested by members of the Board of Trustees on a wide variety of District matters. Contacts public agencies, public officials, and members of the public on behalf of the members of the Board of Trustees
Assists in orienting new members of the Board of Trustees by providing information on Board meetings and the business practices, procedures, and activities of the Board of Trustees
Prepares and processes accounting, budgeting, and purchasing documents related to operations and activities of the Board of Trustees
Process room requests for the Board and assistance to the attendees on an as needed basis
Collaborate with staff members in the Office of the Superintendent to perform duties necessary to support the team including other duties as assigned

Additional Information

Work is performed in classrooms, offices, workstations and meeting rooms. The position requires occasional walking, standing, sitting, bending, stooping, kneeling, crouching, crawling, and lifting/carrying work related items weighing less than 40 pounds, such as books, papers and presentation material. The employee is regularly required to use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and talk or hear. Specific vision abilities required by this job include close vision, color vision, and the ability to adjust focus. Attendance at conferences and professional development is required. Work involves everyday risks and discomforts which required normal safety precautions when operating equipment or performing job duties. May work prolonged or irregular hours and must be able to maintain control under stress. The position requires travel to various campuses, district meeting sites and conferences/meetings in and out of state. The position may require the employee to work some evening and weekends.
Qualifications: High School diploma or GED including or supplemented by courses directly related to administrative support and office practices, and supplemented by college level secretarial, administrative assistant and office management courses
Associate's degree preferred
Minimum of 5 years of experience, including progressively advanced level experience supporting executives and board preferred
Experience in the use of modern office equipment, spreadsheets and database software programs, and rapid data entry keyboarding functions
Demonstrated broad knowledge of major educational business office administrative support secretarial functions, modern office terminology, procedures, and equipment
Demonstrated comprehensive knowledge of the organization and functions of the school system, including established procedures and practices of the Office of the Superintendent, and the names and responsibilities of school division administrative staff
Demonstrated thorough knowledge of local, state, and federal regulations which govern school division operations and ability to apply said knowledge to executive assistant support level decisions
Ability to maintain a high level of confidentiality concerning district, personnel, customer, and vendor information
Ability to interact with top level officials and all staff with tact, courtesy, and diplomacy
Ability to follow complex oral and written instructions
Strong communication, interpersonal, and organizational skills
Ability to work well under pressure with constant deadlines and frequent interruptions

Salary Range: $59,345 - $85,457
