Each campus serves a community educational niche that differs from the large traditional school model in several ways, from the smaller school size, project based learning and integration of twenty first century learning technology in all classes. With its existing assets, infrastructure, and systems in place, the organized is poised to grow to seven campuses and a total district enrollment of 2,000 through same school student enrollment growth and de novo school student enrollment growth over the next several years. |

| Description/Notes: | Job Summary: Primarily assists the district in the administrative and secretarial tasks necessary in maintaining an efficient and organized office including screening of calls and people. Also serves as the center of information flow; overseeing or distributing calls, typing correspondence, inputting and organizing information flow coming in and going out for the district executive office staff and board of directors. Provide specific administrative services to the CEO, Superintendent, and Director of Community Relations & Development and the Superintendent. Provide assistance to the other district staff as needed and available. Description: DUTIES AND RESPONSIBILITIES: Administrative Duties for CEO & Superintendent: ? Screens and prioritizes calls. ? Assists with scheduling appointments Transcribes outgoing correspondence and organizes all correspondence. ? Screens, dates, organizes, and distributes daily mail. ? Answers all incoming corporate calls and directs to appropriate corporate staff by identifying the caller. ? Assists with copying, scanning, and completing paperwork. Organizes and maintains all district policies and procedures Assists with local, state, and federal reports, and various other regular incoming and outgoing correspondence. Assists with open records and FERPA record requests Assists with meetings to include; preparation of agendas, ordering food, reserving space if needed, meeting announcements, and minutes of meetings such as Board of Directors, District Safety and Security committee, District Improvement Plan and Administrators meetings. Assists in the preparation and coordination of District Professional Development including sign-in sheets, agendas, refreshments, maintaining the completion of training records, and monitoring the progress and credits for reporting. Coordinates and organizes documentation and approval items such as stipend sheet and federal programs Maintains the master Board of Directors binder with all official agendas and minutes. Verify we have a quorum before the Board Meeting and have Board Members contact information easily available before meeting. Organizes and maintains addresses, phone number, etc. of organization contacts. ? Maintains office supply needs, copier needs, supply room, and break room supply room needs, including coffee, hospitality items for guests. Serves as office manager to coordinate custodial needs, maintenance of building, keys to district staff, annual inspections, etc. Other duties as assigned. Administrative Duties for Community Relations/Development/Fundraising: Maintain donor database updates (new and existing donors) Generates donor database reports Prepare mailings at various times to donors, including year-end tax statements Email and call potential donors to solicit donations Revised 10/02/2020 Answer questions about the donation process (via phone calls or emails) Assist with special events targeting existing donors (i.e. annual Ask Event, Gator swag distribution, other meetings as they arise) Set up recurring donations from donors via our internet merchant services account with Bank of America (called Your Pay will eventually be phased out) and assist with new program (Every Action). Assist in the preparation for and participate in school orientations at the beginning of the school year. Qualifications: High School or GED, some college preferred Three years executive secretarial experience preferably in a public education environment. Additional Proficient skills in typing, computer (to include database, spreadsheets and integrated software programs), file maintenance and other office machines. Basic reading, writing, and arithmetic skills required. Knowledge of Microsoft Office and telephone protocol. Duties require professional verbal and written communication skills. Working Conditions: Duties involve sitting most of the time, bending, lifting, and standing. Variable duties and occasional irregular work hours. Ability to operate computer and other office machines. Repetitive hand motions and prolonged use of computer terminal. | Salary Range: | $16.83 to $22.48 per hour 228 days |
