Description/Notes: The ARD/PEIMS Clerk is responsible for performing clerical tasks related to special education student records, at the campus level. He/she inputs data into TXEIS for the Public Information Management System (PEIMS), SECM, or similar student information management systems.

Essential Functions and Skills:
Working knowledge of federal and state laws regarding special education.
Exceptional communication (written and oral) and interpersonal skills.
Exceptional organizational skills, with ability to prioritize and coordinate multiple tasks simultaneously.
Ability to fulfill all job responsibilities with a minimum of supervision.
Ability to use technology effectively.
Ability to maintain complete confidentiality.
Ability to work respectfully and effectively with students and staff, regardless of gender, age, disability or
ethnicity.


Responsibilities and Duties:
Work with Diagnostician or LSSP to determine required special education documentation.
Assist the Registrar in the execution of his/her duties.
Create and maintain special education folders for students.
Request student records from previous schools and maintain records of requests.
Send student records, including transcripts when applicable, to other schools through T-Rex or by Fax.
Schedule ARD meetings and send notices in a timely manner.
Contact related service providers regarding ARD meetings and/or evaluations. Ensure that all required paperwork for an ARD meeting has been received on time.
Ensure that the ARD meeting room is stocked with appropriate materials, including copies of Procedural Safeguards, ARD agenda, tape recorder, pens/paper, etc.
Assist with any other needed preparations for ARD meetings, then copy and disseminate information at the end of the meetings.
Input data into appropriate information management systems.
Assist with the mailing of report cards and IEP progress reports.
Maintain monthly Related Services Log, according to school policy. Ensure that service providers sign in/out with times indicated.
Scan the related service logs as attachments for the Diagnostician. Other duties as assigned.

Sitting, standing, lifting and carrying (up to 25 pounds with assistance), reaching, squatting, climbing stairs, and kneeling may be required.
Qualifications: Knowledge of all applicable federal, state, local laws, and guidelines and procedures.
Experience in adapting and implementing curriculum to meet individual learning and behavioral needs.
Knowledge about Instructional materials, technology, and state evaluation methods.
Skill in communicating effectively with others.
Skill in working with computer tools, including but not limited to, email, Internet, word processing and spreadsheets.
Skill in working in collaborative team-based environments.
Ability to exercise good judgment in decision making, especially in difficult circumstances.
Minimum of three years teaching experience, including experience teaching students with diverse learning needs; Experience with eSped, or other computer-based documentation system and certification as Diagnostician.
