Description/Notes: The Operations and Technology Specialist supports TASA’s infrastructure, ensuring seamless operations for staff, members, and events. Working closely with the Director of Operations and Technology, this role is responsible for IT troubleshooting, system maintenance, staff training, and technology support for meetings, conferences, and virtual events.

To enhance organizational efficiency, the specialist assists with the association management system (AMS), websites, and technology-related projects. Additionally, they oversee TASA HQ's daily management and maintenance, ensuring a safe, organized, and well-functioning office environment. This includes managing facilities, coordinating with vendors, and handling general office administration.

DUTIES AND RESPONSIBILITIES
Facilities & Office Support
• Serve as the primary contact for office facility-related issues, including HVAC, cleaning services, security, and general maintenance.
• Conduct routine building inspections and coordinate necessary repairs or improvements.
• Ensure the functionality and maintenance of office equipment, including printers, copiers, and other essential devices.
• Maintain office infrastructure, including lighting, ceiling tiles, and conference room setups.
• Support in-office meetings by ensuring conference rooms are properly equipped.

Vendor & Maintenance Coordination
• Liaise with third-party vendors, contractors, and property management to ensure timely maintenance and service completion.
• Manage janitorial services to maintain a clean and organized office environment.
• Schedule and oversee required building inspections, including elevator checks and fire alarm tests.
• Coordinate HVAC maintenance and address heating/cooling issues.
• Maintain security systems, access controls, and visitor management protocols.

Technology Support:
• Provide IT support for staff, troubleshooting hardware, software, and connectivity issues.
• Maintain and update technology equipment, device inventory, and office Wi-Fi networks.
• Develop and maintain standard operating procedures for all TASA systems.
• Assist in monitoring organizational email inboxes for timely responses.
• Provide technical assistance for website updates, video editing, and content management.
• Support cybersecurity best practices to protect organizational data.
• Stay informed about emerging trends in association technology and software.

Association Management System (AMS) & Database Support:
• Assist in managing and optimizing TASA’s AMS (Fonteva) with the Director of Operations and Technology.
• Provide staff support for Fonteva-related inquiries, troubleshooting, and training.
• Manage TASA’s Career Center within Fonteva.
• Generate and distribute reports, serving as the primary resource for report creation and data analysis.

Event & Conference Technology Support:
• Assist in setting up and managing technology for virtual and in-person meetings and events.
• Support live virtual programming, including technical setup and production.
• Assist with conference mobile app setup, testing, and management.
• Serve as the on-site technology specialist for TASA events, ensuring seamless integration of registration systems, presentations, and event logistics.

Mail & Deliveries
• Pick up and distribute mail from the designated PO Box to internal recipients.
• Oversee incoming and outgoing package logistics, coordinating with courier services as needed.

Work Environment & Expectations
• The position is primarily remote but requires frequent in-person work at TASA Headquarters.
• Ability to travel and provide on-site technology support at major conferences and events.
• Must be proactive, resourceful, and work effectively in a team-oriented environment.
• Will take on additional responsibilities and projects as assigned, in alignment with organizational priorities and objectives.
Qualifications: JOB REQUIREMENTS
• High school diploma; college degree desired
• Four years of demonstrated experience in a related or comparable role preferred
• Ability to be resourceful and proactive when issues arise
• Excellent analytical and problem-solving skills.

SPECIAL SKILLS
• Proficiency in Microsoft Office Suite, WordPress, Salesforce, Fonteva, database management tools, video editing, virtual meeting platforms (Zoom), and project management software.
• Ability to deploy and manage IT hardware and software per organizational standards.
• Excellent verbal and written communication skills.
• Strong organizational, project management, and multitasking abilities.
• Ability to work independently and maintain high productivity in a remote setting.
• Adaptability to evolving technology and changing priorities.

Salary Range: Dependent on Experience
