PAY GRADE: Commensurate with Experience





PRIMARY PURPOSE:

Work under minimum supervision to ensure the Director of Operations and CFO receive efficient clerical services and provide various duties for the Business Office. Handle confidential information and engage in frequent contact with all levels of employees, outside agencies, and the public.



QUALIFICATIONS:



Education

AA/AS from an accredited college or a minimum of 60 college credit hours



Special Knowledge/Skills

Excellent telephone, organizational, written communication and interpersonal skills
Knowledge of correct English usage, grammar, spelling and punctuation
Ability to read and comprehend instructions, short correspondence, and memos
Ability to make independent decisions regarding planning, organizing, and scheduling
Ability to use personal computer and use software to develop spreadsheets, perform data analysis, and do word processing
Ability to multi-task numerous complex activities
Knowledge of basic accounting principles
Ability to maintain confidentiality
Team oriented and self-motivated
Experience

Minimum of one-year work experience as an Administrative Assistant, preferably in a public school
MAJOR RESPONSIBILITIES AND DUTIES



1. Assist in gathering information for auditors.

2. Compute and record cash receipt summaries.

3. Review and enter all district deposits and ensure deposits are transported to bank.

4. Maintain and inventory of banking supplies.

5. Ensure proper money handling procedures for funds collected, locking up and turning in daily to business office for deposit. 6. Assist with campus and student receipt compliance with deposits.

7. Responsible for receiving, storing, and issuing supplies and equipment.

8. Submit monthly usage amounts/meter readings for copiers as requested.

9. Make arrangements with vendors for maintenance and repairs for copiers, as needed

10. Handle travel arrangements, including making hotel reservations and turning in conference registration forms.

11. Assist CFO with the annual insurance renewal applications.

12. Work with parents of students & teachers with any student accident insurance claims.

13. File student accident insurance claims and work with insurance company to facilitate the payment of claims.

14. Organize, prepare, and coordinate district contracts (excluding personnel) with contracted personnel and vendors.

15. Assist in training employees on business procedures and policies.

ABOUT BOB HOPE SCHOOL
Bob Hope School is a growing open-enrollment public charter school (non-profit) providing parents a choice in their child's education. Bob Hope Elementary is a Montessori / Dual-Language campus. Instruction is conducted in a two-way immersion program, where teachers fluent in English teach ELA and those fluent in Spanish teach SLA and are supported by teacher aides with a strong command of both languages.
