Description/Notes: TITLE: ADMINISTRATIVE SECRETARY - CAMPUS

REPORTS TO: SCHOOL DIRECTOR

FLSA STATUS: Non-Exempt



ESSENTIAL DUTIES AND RESPONSIBILITIES (include but are not limited to):



Places and receives telephone calls, fields questions and records accurate
Greets students, parents, staff, and visitors in a pleasant and professional manner. This also includes; being open and respectful regarding all requests from staff, parents, students, and other stakeholders as
Ensures potential students sign up online while on the
Formats, composes, and types various correspondences, reports, notices, and other documents using MS Word or Excel. Reviews documents for accuracy and
Compiles operational statistics and other data as
Produce and submit internal reports, as assigned by the Executive Director of Instructional Operations in a timely
Responsible for distributing and collecting all Human Resources documentation for New Hires and/or Returning employees as needed and on an on-going basis while ensuring completeness and
Maintain all appropriate personnel files at the campus level in accordance with District guidelines and policies.
Maintains office equipment and
Opens the mail, distributes, and processes incoming
Actively participates in the planning and preparation of school activities including open houses, parent- teacher meetings, field trips, and
Performs various duties including, but not limited to, photocopying and faxing in support of the School Director and
Performs such other tasks and assumes such responsibilities as the School Director may from time to time assign or
Responsible for campus attendance including but not limited to submitting period/ADA attendance, reviewing ADA attendance, updating attendance, daily attendance reporting, managing mismatching attendance, truancy/call out of absences, and other attendance reporting as
Assisting School Director with data entry of discipline
Preparing and sending correspondence to parents as directed by the School Director to include ARD
Supports and assists the registrar and counselor during times of high need and performs the registrar function when the former is not on


QUALIFICATIONS:
High school diploma required, associate’s degree
Previous administrative experience preferred, other secretarial experience may be
Must have knowledge of MS Word, Excel, and Outlook and a minimum typing speed of 50 words per minute
Must have excellent time management and customer service
Experience in establishing and maintaining comprehensive filing systems, which includes confidential information and a combination of skills to include record keeping and operating office
Ability to independently prioritize and to function accurately and smoothly under pressure.
Ability to maintain confidentiality regarding student and staff situations and sensitive school and district
Must be willing to attend training throughout the school year at the Regional Service Center or at another RMA campus, if requested to do
Proven ability to work in a polite and friendly manner and relate to a variety of constituencies, including, but not limited to administrators, parents, teachers, students, other school staff, and school
Must have proper, positive, and professional communication skills. This includes excellent verbal and written communication
