|Job Title:||Leave Specialist|
To administer leave of absence and disability accommodation programs and policies for all employees. Advise employees on eligibility and benefits of programs and claim procedures. Process leave and disability accommodations according to established policy, rules, and regulations.
MAJOR RESPONSIBILITIES AND DUTIES
Processes all long-term employee absences, determine eligibility for various leave programs including Family and Medical Leave (FMLA) and temporary disability leave according to established guidelines, and provide employees with required timely notice.
Administers and tracks all Americans with Disabilities (ADA) accommodation requests and district responses.
Interprets and administers leave and disability programs and policies in accordance with the applicable federal and state employment laws (FMLA, ADA, HIPAA, USERRA, Pregnancy Discrimination Act, etc.).
Works closely with employees to ensure that all relevant completed medical documentation is submitted for timely review. Maintains appropriate contact with all employees on leave and coordinates all aspects of return to work for employees on leave.
Coordinates and organizes all medical information and ensures that HIPAA guidelines are closely monitored and effectively executed.
Tracks all employee leave hours used/taken and working closely with Payroll to ensure that pay is accurate and correct.
Produces and manages reporting metrics and analytics for all leave cases.
Administers short and long-term disability claims to ensure that they are coordinated with employee leave.
Communicates with campus and departmental administrative administrators regarding employee leave and disability accommodations.
Maintains up-to-date working knowledge of FMLA and ADA and other state or federal laws that affect leave. Keep abreast of the current changes in the laws by attending seminars and utilizing the internet.
Provides timely notification and communication with employees and administrators regarding leaves and absences and accommodations.
Maintains record-keeping system in accordance with department standards. Create reports as required on leave and accommodation status and trends.
Reviews and updates leave of absence and ADA forms for adherence to related laws and district policies.
Inputs and maintains leave cases in KRONOS and correct Aesop for Aesop managers when reconciling.
Maintains physical and computerized employee leave records including confidential medial certifications.
Inputs, accesses, and compiles data and assist with preparing reports on employee leave status and utilization of employee leave programs.
Maintains up to date tracking on processing requests on google sheets and excel sheets.
Compile pertinent data as needed when preparing various state and local reports.
Demonstrates regular and prompt attendance.
Perform other duties as assigned.
|Qualifications:||GENERAL QUALIFICATION GUIDELINES
Associate degree in human resources or equivalent combination of training/experience to demonstrate ability to do the job.
Experience in human resources related experience and/or training, preferably in public education.
Knowledge in FMLA, ADA, HIPAA and USERRA regulations; case management and tracking processes; and leave administration programs and applicable laws.
Skill in communication and interpersonal relations when discussing health information; problem solving, time management and priority setting; and word processing and spreadsheet software.
Ability to track information accurately and ensure compliance with federal and state laws, including meeting deadlines; perform basic math skills; use personal computer and software to develop spreadsheets and databases; exercise appropriate judgment in answering questions and releasing information; maintain confidentiality of information; and identify basic problems and procedural irregularities.
Needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
Frequently communicates with other employees or public. Must be able to exchange accurate information.
Ability to understand, remember, and communicate routine, factual information.
Ability to organize and prioritize own work schedule on short-term basis.
Ability to make decisions which have moderate impact on immediate work unit.
Ability to compose letters, outlines, memoranda, and basic reports and/or to orally communicate technical information.
Ability to communicate with individuals utilizing a telephone, computer or other electronic device.
Use standard office equipment including personal computer and peripherals.
Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting.
Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching.
