Description/Notes: Position Summary:

The Administrative Assistant of School Operations, under the supervision of the Executive Vice President of School Operations, performs a variety of complex, responsible and confidential administrative duties requiring a thorough knowledge of organizational procedures and processes. They will provide ongoing support to the Executive Vice President of School Operations and/or designated Operations staff members. They will perform department related functions including, but not limited to, compiling, organizing, developing, and reporting information relative to budget, inventory control, training, district level reporting, communications, and public relations in support of the School Operations Team. They will perform other department related work which may require considerable judgment, tact, creativity, and initiative, in resolving problems and completing tasks.

Responsibilities and Duties:

• Maintain calendars, track deadlines, route incoming calls, organize meetings, and prepare reports, presentations, and correspondence
• Responsible for meeting documentation and minutes
• Ability to edit, proofread, and process official district documents
• Maintain the weekly attendance summary and the district electronic newsletter
• General clerical responsibilities including: answering phone, filing, typing, copying, department mail, department purchases, account reconciliation, and other clerical duties
• Coordinating travel arrangements as needed
• Ability to work a flexible schedule
• Communicate effectively with all employees via email, telephone, fax, and in person
• Provide support for operational communications
• Responsible for the school operations corporate phone line. (Provide information, take messages, or transfer calls to the appropriate staff)
• Manage special projects, during and after normal business hours
• Travel as required
• Other duties as assigned
Qualifications: Education/Certification

• High School diploma or GED, Bachelor’s Degree from an accredited College or University (preferred)


• 3+ years demonstrated experience in office management, communication, public relations, project management, administrative reporting or related activities

Required Knowledge, Skills, and Abilities (KSAs)

• Ability to maintain confidentiality and demonstrate good judgment and diplomacy
• Experience with data building and input, filing, computer programs, and office equipment
• Proficiency with Google. (Documents, Sheets, Calendar, Slides, Shared drive, Meeting Hang-Outs etc.)
• Working knowledge of Smart Sheet Software (preferred)
• Advanced knowledge of Microsoft Office Suite products. (Word, Excel, Power Point etc.)
• Excellent knowledge of office protocol
• Excellent verbal and written communication skills
• Excellent organizational and problem solving skills
• Excellent attention to detail is required
• Excellent customer service
• Ability to understand interrelated processes  
• Ability to manage multiple priorities effectively
